Call Recording Policy
How HostTalk Handles Call Recording and Guest Consent
HostTalk may record and transcribe calls handled by the AI assistant. This page explains how consent is obtained, how recordings are stored, and your rights as a caller or property manager.
Call Recording
Notification, Consent, and Data Types
Caller Notification
Required in all jurisdictions
Every call answered by HostTalk begins with an automated notification informing the caller that the call may be recorded or transcribed. By continuing the call, the caller consents to this recording. Property managers are responsible for ensuring their HostTalk configuration includes this notification.
Jurisdiction Compliance
Canada, USA, and beyond
Recording consent laws vary by jurisdiction. In most Canadian provinces, one-party consent applies. In some US states (including California), all-party consent is required. HostTalk's standard greeting includes a recording notice to meet the strictest applicable standard across North American markets.
Transcript vs. Recording
Different retention rules apply
HostTalk generates two types of call data: audio recordings and text transcripts. Audio recordings are retained for 90 days and then permanently deleted. Transcripts are retained for the duration of your account to support call history and analytics in your dashboard.
Data Retention
How Long We Keep Call Data
Audio Recordings
Call audio files are stored in encrypted cloud storage and automatically deleted after 90 days. This aligns with GDPR and PIPEDA data minimization requirements.
Transcripts
Text transcripts of calls are retained for the life of your account and are accessible from your dashboard. You can delete individual transcripts at any time.
Call Metadata
Non-identifiable call metadata (duration, timestamps, call outcome category) is retained for analytics purposes and may be retained in aggregated, anonymized form beyond account closure.
Account Deletion
When you close your HostTalk account, all recordings, transcripts, and personal data are deleted within 30 days, except where retention is required by law.
Guest Rights
Rights of Callers and Guests
Right to Opt Out
Guests who do not consent to recording may terminate the call at any time. HostTalk does not retain data from calls where the caller hangs up before the consent notification completes.
Right to Access
Guests who believe their call was recorded may submit a data access request to the property manager or directly to Albor Digital LLC at privacy@albor.digital. We will respond within 30 days.
Right to Deletion
Guests may request deletion of their call recording or transcript. Requests are processed within 30 days unless retention is required for legal or security purposes.
